Instructions for Meet Entries

Once you start you may stop at any time during this process and all of your information will be saved. This allows you to enter athletes names and team information ahead of time.

* Note: If you have already sent rosters using hytek then skip to download event file

OK lets load the program
-Go to: http://www.hy-tekltd.com/downloads.html and download the new TM Lite program. Save it to your desktop. Close the internet, double click the the TM icon to open it.
-After loading select next to continue with the setup.
-Then yes to the agreement
-Then next , and it will create a file called hy-sport
-Then click on the launch program button and finish
-You will have a new TFTM Lite icon on your desktop the next time you restart your computer
-Once the program starts up select ok.

Name your team - Select file then open/new type in the name of your team, click open

Your ready to setup the program.
Start by clicking on setup and selecting system preferences.
-under gender designations pick- boys and girls
-athlete browser pick- show year and show middle initial, select Last name first
-skip athlete registration IDs and team/athlete defaults
- hand timed conversions enter .24 for all three boxes
-no need to select English metric conversions
-under age grouping pick Open
- dash distance pick 400
-once you have set these preferences then click on OK and yes to recalculate results

Click on Setup menu and Groups/subgroups/codes
You need to change the school years to numbers and add 7th and 8th grade
Click on the button next to school year
Click on the Add menu
Select the school year button
Enter in the code and description for the schools years to be added like this.
Grade type a 7
Description type 7 again
Click ok and Add another and do the same for 8
double click on each of the freshman, sophomore, junior, and senior changing the code to 9,10,11,12
Click Ok and close this window
(the little file with the return arrow) or the little x just below the big X in the upper right hand corner.
Your ready to enter your team
-Select teams and pick Add
-Enter your New team code (from the MSHSL website or listed below)
-Type in the team name (school)
-Short name
-Under team type pick school
-Then fill in the rest and leave mailing type open
-Select OK when done
-Select coaches then add and enter just your information and select OK
-go back or Close the coaches box and the team box
(the little file with the return arrow) or the little x just below the big X in the upper right hand corner.
-Note that there may be some differences in setup between windows systems.

Your ready to Add you athletes
-Its best to enter all your athletes in alphabetical order so you don't miss any
-Select athletes and pick Add
-Type their last name, first name, and middle initial
-Pick male or female.
-Then skip down to the Member of box and pick your team by the arrow and their school year.
-Click on ok and continue to add all of your athletes. When done click cancel or you can check your roster by clicking print and selecting your team then create report.
go back or close the box when you are done to exit out of athletes

Now its time to download & install the meet events that are posted on our web site
-Open this website and click on Team Mgr Meet Events import File and save it to your desktop or a disk
-Open Hytek TM and Click on file and import and then meet events
-Select the file to look in where you saved it either on your desktop or on a disk in the A: drive
-Double click the file meet events and it will install on to your program unzipping itself.
-Click ok then highlight the file to open, click ok

Now your ready to enter your athletes in events.
-Select Meets and this meet will be highlighted
-Select entries and pick by Event
-You must select a team under, for team
-Now highlight the event with the correct gender or your athletes will not show up
-when you enter a relay click on the new relay button to enter their time and put the time under custom, also if you have a b relay by accident just click the check box under Ent to undo it.

-You can enter your relay runners by double clicking their name and they will move over to their running position on the relay

-Select the athlete you wish to enter and enter their best mark, under custom (if you have the full version of this program use their best mark and use an h after the time if entering hand held times or custom enter an FAT equivalent)

-If you are using the lite program or entering custom times you will need to convert hand held times by rounding up to the next tenth and adding .24 This is very important in the 100 thru 400 because we have no prelims and we want the correct people in the last heat. don't worry about the 800m and up. when entering times like the 1600 all you need to do is type 53260 and it will enter the colon for you 5:32.60. When entering field events use 5-2.25 for 5’ 2 1/4 “

-After everyone is entered you can print out your entries for review by selecting the print button. and select your team then create report.

Errors
If you get erroneous events that an athlete is in, you need to go under entries and select entry browser to delete them. Highllight then delete. Entry by event or entry by name will not delete them.

Once you have entered everyone and checked your print out, you are ready to send me the file
-Close out or go back to the front page of the program
-select File, then Export, then Meet entries
-Save it to your desktop or other file source that you can readily find
-Open your email and attach the file
-Send it to pete.robinet@isd47.org
-In the subject line of the email list the name of the meet the entries are for

Thanks for the help. The full version of program that I use for all our meets and team stats does many things like keep track of meet stats so when we enter events for our kids in the Mega meet it automatically enters their best mark, prints stickers from the entries, and keeps performance lists, along with many other options.
